Track a data room
Read the analytics that actually matter — who opened your room, which documents they spent time on, and who's worth a follow-up.
Plox Tip
A data room dashboard isn't a report card — it's a real-time signal of who's investing emotional energy in your story. The viewer with three repeat visits at midnight is the one to email first.
Before you begin#
- A live data room with at least one viewer who's opened the link. (No views yet? See Sharing a document for distribution playbooks.)
How to open analytics#
- Open the Data Rooms section in the sidebar.
- Find the room you want to inspect.
- Click the View Analytics icon on the row.
You land on a dashboard with three views: Overview, By document, and By viewer.
The Overview tab#
- Unique viewers — total verified emails that opened the room.
- Avg time spent — across the whole room. Anything above 2 minutes is real engagement.
- Completion rate — what percentage of the room each viewer made it through, averaged.
- Top viewers — your "hottest" leads, ranked by combined time spent and revisits.
The "By document" tab#
Shows engagement broken down per file in the room. Use this to:
- Find your strongest content — the page everyone lingers on.
- Find your weakest content — the file viewers skip or drop off mid-way.
- Plan your follow-up — when you write a "thanks for the time" email, reference the specific document they spent the most time on.
The "By viewer" tab#
Per-person view of how each viewer engaged. Click a viewer's name to see:
- Time on each document and page.
- Number of sessions and revisit dates.
- Device, IP, and location.
This is the screen you actually open before sending a personalised email.
Signals worth acting on#
- Revisits — the same viewer opening twice within a week is the strongest signal in the dashboard. Send a follow-up.
- Deep linger on financials or pricing — they're qualifying you. Offer a call.
- Drop-off mid-deck — your story stalled. Tighten the section or move it later.
- Zero opens after 3 days — the email lost. Send a friendly nudge with the link inline.
