How to create a data room
Step-by-step: create a data room, add documents, set access controls, and share it as a branded mini-site.
Plox Tip
A data room is a destination, not just a folder. Treat the cover page like a landing page — title, one-line story, a contact CTA — and viewers will treat it like one too.
Before you begin#
- Plus, Pro, or Max plan — data rooms aren't on Free. See Pricing.
- The documents you want in the room already uploaded (see Uploading a document). You can add them later, but having them ready makes setup feel instant.
- Your logo uploaded under Branding (recommended — the room inherits it automatically).
Steps to create a Data Room#
- From the dashboard, click Get Started or open the Data Rooms tab in the left sidebar.
- Click + New Data Room.
- Give it a clear, recipient-facing name (e.g. "Plox – Series A – ACME Capital").
- Plox creates a blank room with a default landing page and an empty document list.
Add documents#
Inside the room:
- Click + Add Document to upload a new file, or Pick from Library to attach a file you already uploaded under Documents.
- Reorder by drag-and-drop — the top file is the one viewers see first.
- Group related files by adding folders for things like Financials, Legal, Product, Team.
Customize the cover page#
The cover is the first thing investors or buyers see. Edit:
- Title and tagline — keep it short; this is your "elevator pitch" line.
- Hero image or video — Plox AI can auto-generate this from your pitch deck (see Plox AI).
- Description — 2–3 sentences on what's inside and why it matters.
- CTA — link to your calendar or a contact email so warm viewers can reach you immediately.
Set access controls#
Click the three dots (•••) on the room → Data Room Settings (same as Access Controls). The room-level controls apply to every document inside, so set them once instead of per-file:
- Email + OTP for verified viewer identity.
- Allowlist for closed deals.
- Watermark + Disable Download for high-stakes financials.

Share the room#
Click Copy Link on the room. The URL takes viewers to your branded landing page, where they navigate documents in the order you arranged.
